We are an experienced team that takes care of the legalisation of documents from our centrally located office near the Swedish Ministry of Foreign Affairs in Stockholm. Within the Notary Public area we will help you to confirm, certify and check deeds and documents. We also handle documents that will be forwarded to the Swedish Ministry of Foreign Affairs and embassies. Our main strength is a personal, rapid, secure and tailored service in which we’re responsible for the entire process. Among other things, we can help you to:

  • certify signatures

  • confirm that someone is authorised to perform certain actions (signatory)

  • certify that someone has the competence or professional status to represent someone

  • be present as a witness in certain cases (for example in tender procedures)

  • check lottery draws and voting procedures (such as television and radio competitions)

  • contest bills of exchange

  • legalise adoption documents

We handle documents such as:

  • affidavits

  • articles of association

  • death certificates

  • relatives reports

  • degree certificates prior to studying or working abroad

  • powers of attorney

Translations

Please note that unfortunately we cannot translate documents. You will find authorised translators on the Legal, Financial and Administrative Services’ website. We can help you to contact translators.

Remember to always carry a valid Swedish identification document or international passport that proves your identity.

Apostille

According to an international agreement, an apostille can be issued for documents that must be presented in another convention country. When the document has been given an apostille stamp, it is exempt from any form of authentication. Normally, this means that no additional approval from a foreign embassy is required. (Only applies to countries that have signed up to the Convention Abolishing the Requirement of Legalisation for Foreign Public Documents, see which counties this applies to.)

Examples of documents that can receive apostilles directly:

  • Documents prepared by government authorities (e.g. the Swedish Tax Agency, the Swedish Companies Registration Office, the Swedish Medical Products Agency and the Swedish National Board of Health and Welfare)

  • Register extracts (e.g. proof of identity and criminal record extracts)

  • Court documents (e.g. divorce from the district court)

  • Grades/certificates from universities, colleges, municipal schools (not independent schools)

  • Documents signed by a Notary Public

  • Documents signed by the Swedish Chamber of Commerce

  • Translations carried out by an authorised translator (the Legal, Financial and Administrative Services)

  • Extracts from the register of births and marriages

Every document that will be apostilled must be accompanied by the following:

  • Original stamp from the issuing authority where the name of the authority appears.

  • Signature and printed name of the person who stamped the document.

  • The person’s position at the authority.


Important information

Processing time

We receive documents at our office and process cases in turn. If the cases are a matter of urgency, please contact us in advance and we will endeavour to prepare the case for expeditated processing to the best of our ability. 

If you would like us to arrange for a courier or send the documents by post, we will of course do so. 

We do not have an appointment system, and you are welcome to contact us during our office hours: Monday to Friday, 09.00 to 16.00

Sometimes, legalisation by the Swedish Ministry of Foreign Affairs and embassy are required in addition to legalisation by a Notary Public. We will help you to take care of legalisations at the Swedish Ministry of Foreign Affairs and relevant embassy.
